How to Make AI Write in Your Voice
Your AI sounds like everyone else because nobody showed it who you are. Write your voice down first.
October 29, 2026The call went great. Then the follow-up sat in drafts for three days. Here's how to send it within the hour, in your own voice.
Send your follow-up email within an hour of the sales call. Open with something the prospect said in their own words, recap the one problem you talked about, and confirm the next step with a date. Keep it under 150 words. If you can't write it that fast, let AI draft it from your call notes in your voice, then read it before you hit send.

I'm great on a sales call. I'm terrible at the email after it.
On the call, the energy is there. They nod, they tell me what's keeping them up at night, and half the time I book the next meeting before we hang up. Then the call ends, the day takes over, and the follow-up sits in my drafts while the momentum quietly drains out of it. (The woman who sells "let AI help with your email" has over 33,000 unread. Oh joy.)
I'm not alone in that. When researchers sent test leads to 2,241 US companies, the average reply took 42 hours, and 23% never replied at all. A sales call is a warmer moment than a web form, but the lesson holds: the follow-up email is where good conversations go to die. Here's how I write mine now, plus a sample you can copy.

The call is where the prospect decides they like you. The follow-up is where they decide whether to act.
Speed is most of it. In the same study, companies that responded to a lead within an hour were nearly seven times as likely to have a real conversation with that person as companies that waited even one hour longer. Interest has a short shelf life. Every hour your email sits in drafts, the prospect gets pulled back into their own busy day.
The other part is clarity. After a good call, it's tempting to send a long recap of everything you discussed, plus your services, plus a few links. That email is work for the person reading it. A good follow-up does one job: it makes the next step easy to say yes to.

Here's the shape I use. It's short on purpose.
Sample follow-up email
Subject: Next steps on [the problem, in their words]
Hi [Name],
Thank you for the time today. When you said "[their exact words about the problem]," that stuck with me, because it's the exact thing a [what you'd build or do] is meant to fix.
Here's what we agreed on:
We're booked for [day and time]. If anything changes before then, reply here and we'll move it.
Talk soon,
[Your name]
That's it. One thing they said, one problem, one next step, one date. No pitch, no list of services, and no "just checking in."
A good follow-up does one job: it makes the next step easy to say yes to.

You don't need a fancy sales system for this. You need five minutes right after the call and a few habits.
Block 15 minutes on your calendar right after every sales call, and send the follow-up before you do anything else. Fast and good beats perfect and late.
Hint: book your sales calls with a gap after them. If the next meeting starts the minute this one ends, the email waits until tomorrow.
During the call, write down one phrase the prospect used to describe their problem, word for word. Put it in the first two lines of your email.
Hint: people remember the moment they felt heard. Their own words bring them right back to it.
Name the main problem you talked about and the single next step. Leave out the rest. If you covered five things, pick the one they cared about most.
Ask for the next meeting while you're still on the call, then let the email confirm it. An email that says "we're booked for Tuesday" does a lot more than one that asks "when works for you."
Hint: if they can't commit on the call, offer two specific times in the email instead of an open question.
Decide today when you'll follow up again if you don't hear back, like three days and then a week, and put both on your calendar. Each one should add something useful, not just ask if they saw the last one.

This is where AI earns its keep. If your calls are recorded, the transcript already holds everything the follow-up needs: their words, their problem, and the next step you agreed on. Paste it into your AI tool with your voice profile and ask for the follow-up in the shape above. You get a solid draft in a minute instead of a blank page at 9 pm.
The voice part matters. A follow-up that sounds like a template undoes the trust you built on the call. If the draft says something you'd never say, fix it and tell the AI why, so the next one comes out closer.
And stay in the chair. AI drafts, you decide. Read every follow-up before it goes out, check that the next step and the date are right, and then hit send while the call is still fresh. That's the part I build for owners, and the part I'm fixing in my own business too.

Listen to Entrepreneur ConundrumIf your sales calls go well and your follow-up is where things go quiet, I build systems that turn each call into a ready-to-send follow-up in your voice, so it goes out the same hour. If that sounds useful, grab a time to chat, no pressure either way.
Book an AI Systems ChatWithin the hour if you can, and the same day at the latest. In a study of 2,241 US companies, firms that responded to a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer. Interest fades fast once the prospect gets back to their day.
Thank them, repeat one thing they said about their problem in their own words, recap the main problem and the single next step, and confirm the date of the next meeting. Leave out your full service list and keep it under about 150 words.
Plan at least two more follow-ups before you send the first one, for example three days later and a week after that. Each one should add something useful, like an answer to a question they asked, rather than only asking whether they saw your last email.
Use the prospect's problem in their own words, like "Next steps on getting your evenings back." A specific subject line reminds them of the conversation and reads like a reply, not a pitch.
AI can draft them well if you give it the call transcript or your notes and a voice profile with samples of your writing. Read and edit every draft before sending, and check that the next step and date are correct.
Send your planned second follow-up with something new, like a short answer to a question from the call or two specific times for the next meeting. If there's still no reply after the third, close the loop politely and leave the door open.
